Position Title: Administrative Assistant/Project Coordinator II
Pay Range: $24.68 - $26.00 per hour
Duration: 3 to 6 months (Contract Assignment)
Schedule: Full-time, Monday - Friday | 7:30 AM to 4:30 PM
Position Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant/Project Coordinator II to provide administrative and operational support within a fast-paced environment. The ideal candidate will play a critical role in streamlining processes, managing tasks and resources, and supporting departmental operations. This position requires a proactive professional with exceptional communication skills, the ability to work collaboratively, and the capability to handle multiple priorities simultaneously.
Key Responsibilities:
- Provide administrative and clerical support for various projects and assignments.
- Manage assigned processes and coordinate tasks to ensure smooth operations.
- Organize and maintain documentation, correspondence, reports, and files.
- Monitor and manage office supply inventory; coordinate with vendors as needed.
- Organize and schedule meetings, appointments, and department activities.
- Implement and maintain office operations, procedures, and workflows.
- Collaborate with the operations team to address building maintenance needs.
- Coordinate purchase orders, invoices, logistics, and other transactional workflows.
- Serve as a resource for policies, procedures, and administrative inquiries.
- Partner with internal and external contacts to ensure efficient communication and resolution of issues.
- Perform additional administrative duties as assigned by the manager.
Required Qualifications:
- Experience: 1-3 years of experience in order processing, project coordination, operations support, or related administrative roles.
- Proven ability to handle high-volume transactional workflows, including order entry, purchase orders, invoicing, or logistics coordination.
- Proficiency in Microsoft Office, including Excel, Outlook, and general office software.
- Experience with ERP systems, order management systems, and project tracking tools.
- Strong attention to detail and a proven ability to process orders with accuracy, even under tight deadlines.
